This Privacy Policy explains how Amanda Burback Marriage and Family Therapy, Inc., a California professional corporation doing business as Mellow Therapy ("Mellow," "we," or "us"), collects and uses information through mellow-therapy.com (the "Website") and related inquiry, scheduling and administrative reporting activities. It describes our practices; using the Website does not by itself authorize a use or disclosure of health information that requires separate authorization under applicable law.
Protected health information is subject to our Notice of Privacy Practices and applicable healthcare privacy laws, including HIPAA where applicable and California law. These protections may apply to consultation and scheduling information before a person becomes a client. This Policy supplements, and does not replace or limit, those protections. When you inquire about services or book a consultation, we collect the information you provide, such as your name, email address, phone number, scheduling details and message. Please use our designated clinical channels for detailed health histories and treatment information. Website tools may collect technical information such as IP address, browser and device information, pages visited, referring URLs, online identifiers and booking-completion events. We also collect advertising attribution tags, such as source, medium, campaign, advertisement and keyword. For internal practice reporting, we use consultation records and appointment, clinician, attendance and payment information from our administrative and practice-management systems.
We use information to respond to people interested in Mellow's services, arrange and follow up on consultations, administer appointments and payments, operate the Website, and meet legal obligations. Where permitted by applicable law, we also evaluate how people find Mellow and measure consultation bookings, attendance, new-client acquisition, clinician allocation, collected revenue, acquisition costs and return on advertising spend. This helps us plan services and understand the economics of operating the practice. We may match consultation records with appointment and payment records for these internal purposes. Executive dashboard reports omit client names, email addresses, phone numbers and clinical notes; underlying administrative records may retain identifiers needed for matching. We do not use remarketing or retargeting, create or upload custom advertising audiences, send email newsletters, or sell personal information or protected health information. Responding to an inquiry and measuring campaign performance are distinct from using a person's treatment information to target advertisements.
We use service providers for website hosting, inquiry and appointment scheduling, practice management, recordkeeping, automation and internal reporting. Our current tools include Webflow, Calendly, SimplePractice, Google Workspace and OpenAI services used for administrative automation and dashboard support. Information processed depends on the function involved and may include inquiry or scheduling details, administrative records, technical information or report summaries. The Website uses Google conversion-measurement technology that may process online identifiers and booking-completion events. Mellow does not use an OpenAI advertising pixel or run advertisements on OpenAI or ChatGPT. Mellow does not use measurement tools for remarketing or custom audiences. Uses and disclosures of protected health information remain subject to applicable healthcare privacy requirements; this Policy does not independently authorize them.
The Website and embedded services may use cookies, pixels and similar technologies for functionality and measurement. Our attribution code stores advertising tags in browser session storage and passes those tags to Calendly when you use the scheduling tools. You can use browser settings to clear or restrict cookies and website storage; doing so may affect scheduling features or measurement. Our attribution code does not currently change its behavior in response to browser Do Not Track signals. Embedded providers may handle browser signals and storage differently under their own policies. Contact us if you have questions about these technologies or wish to make a privacy request.
You may contact us to request access to, correction of or deletion of your personal information, or to ask about applicable privacy choices. California law may provide additional rights, including rights to know about collection and disclosure and to opt out of sale or sharing, depending on the information and law involved. We do not sell personal information or use remarketing or custom advertising audiences. We will not discriminate against you for exercising applicable privacy rights. Health information is subject to separate rights and protections under our Notice of Privacy Practices and applicable healthcare law. Exemptions for certain medical information do not necessarily apply to all website information.
We use technical and organizational safeguards, including access restrictions for internal records and reporting. Retention depends on the type of information, the purpose for which it is used, the need to maintain accurate appointment and financial records, applicable recordkeeping requirements, and security or legal obligations. Administrative exports and reporting records are distinct from the underlying clinical record. No method of transmission or storage is completely secure. Nothing in this Policy waives rights or duties imposed by applicable law.
The Website is not directed to children under 18 without the consent of a parent or guardian, and we do not knowingly collect information from children under 18 without such consent.
The Website may link to independently operated third-party websites. Their own policies govern their handling of information. This does not eliminate Mellow's responsibilities for information we provide to service providers acting on our behalf or any obligations imposed by applicable law.
We may update this Policy as our practices change. Material changes will be identified on the Website or communicated as required by law. This September 7, 2026 update clarifies inquiry handling, attribution and internal practice reporting, service providers, and our practices of not remarketing, using custom advertising audiences, sending newsletters or selling personal information. A policy update does not retroactively authorize a use or disclosure that required separate authorization.
